AfrikaBurn 2025: 28 April to 4 May

1. Purpose

This policy outlines the safe storage, handling, and distribution of gas and fuel for participating camps at AfrikaBurn. It ensures compliance with safety standards and efficient co-ordination of fuel supply and usage during the event.

2. Scope

This policy applies to all AfrikaBurn participants, theme camps, and operational teams handling or storing gas and fuel during the event.

3. Responsibilities

  • The Fuel Management Team is responsible for the collection, storage, record-keeping, and distribution of fuel for participants.
  • Camps and participants are responsible for adhering to fuel storage regulations and ensuring safe transport of fuel to and from the event.
  • The Fire Team oversees fuel safety protocols and coordinates with the Fuel Management Team.

4. Gas and Fuel Procurement Process

  • Each camp must confirm gas bottle size and quantity as instructed by the designated gas wrangler. The designated wrangler will confirm the requirements and update the spreadsheet
  • AfrikaBurn will not accept any money for gas or fuel and does not gift gas or fuel to the community.

5. Gas and Fuel Delivery and Storage

  • Each fuel container must be labelled with the respective camp’s name.
  • The Fuel Management Team will sort gas into pods, with a maximum of 100kg per pod, maintaining a minimum spacing of 3 meters between pods.
  • Camps are required to bring sufficient chains and locks for securing their pods.
  • Camps must also provide shade cloth to cover their pods for additional safety and protection from direct sunlight.
  • If participants bring fuel trailers (gas bottles or large fuel barrels), these must be parked in a designated fuel storage area and covered with shade cloth.
  • Fuel trailers must have support legs, a functioning dolly wheel, and a minimum of 2 x 4.5KG DCP fire extinguishers per trailer.
  • Fuel trailers must be parked at least 5 meters apart from each other and any other fuel storage units.
  • Participants bringing 200L fuel barrels must provide a drum pump for safe decanting.

6. Fuel Management Team and Dedicated Vehicle

  • A dedicated Fuel Management Team of two people will be assigned, with a dedicated vehicle for transporting fuel.
  • Fuel collection and delivery will only occur during daylight hours.
  • The Fuel Management Team will be an extension of the Fire Team and will operate under their direction.
  • The camp lead or person contacts the VOC, who will liaise with the fuel management team to collect / deliver the required gas / fuel.
  • The fuel management team will keep a register of all collections and deliveries, with the exception of DPW fuels and gas.
  • Each container will be marked with the owners’ name, name of camp site, and an item log number.

8. Fuel Usage and Safety Regulations

  • No camp may store or possess more than 100kg of gas at any given time. This limit applies to both full and empty bottles, as all bottles are considered full for safety calculations.
  • The Health and Safety Officer reserves the right to assess whether the requested quantity is justified based on the camp’s setup and safety considerations.
  • All camps may not store more than 2 x 20ltr Jerry cans of fuel bunded (put into buckets to catch spills)

9. Monitoring and Enforcement

  • The Fuel Management Team and Fire Team will oversee compliance with all fuel storage and transport regulations.
  • Camps and participants failing to follow safety protocols may face restricted access to fuel storage and distribution services.
  • Safety checks will be conducted regularly to ensure adherence to this policy.

10. Review and Updates

  • This policy will be reviewed annually and updated as needed.
  • The Fire Team and Fuel Management Team will be responsible for implementing the necessary changes.
